Document Control/Site Administrator

Location: Balsall Common, Coventry

An exciting opportunity has arisen for a Document Control/Site Administrator to join our Midlands / HS2 team. To be considered, you will come from a Construction or Civil Engineering background. The Document Control/Site Administrator will have to hold a full UK driving licence, as travel between sites is necessary.

The Document Control/Site Administrator will manage the document control process on projects, liaising internally with the site team, and externally with the Client, Consultants, and key stakeholders to ensure document control is managed in a timely, professional manner, in accordance with company procedures and project programs. The postholder will also manage all site documentation.

Key Accountabilities to include but not limited to:

  • Proactively lead and manage document control on selected project/s, being the first point of contact for all document control issues
  • To update and maintain company share drive with all project documentation including H&S and Q&A. Making sure document control procedure is followed
  • Request document numbers
  • Uploading RAMs/FCR/ITP s etc. to BC. Uploading Temporary Works Packs to BC
  • Weekly material/plant/waste returns
  • Scanning/filing of all site documents
  • Booking in vehicles on Datascope
  • Monthly environmental report
  • Updating site drawing register
  • Distributing communications from BBV from BC/CEMAR
  • Weekly wage sheet preparation (using fareclock reports)
  • Order office supplies and stationery
  • Submit monthly photocopier records. Submit monthly workforce monitoring records
  • Recording and logging Observation Cards submitted and raising with Works Manager/PM
  • Induction and Staff Registers, logging and ensuring BBV Induction, Fit for Works Med and other Site Specific are done
  • TBT register/record logged and filed
  • General office management, updating safety alerts & update posters etc
  • Undertake other duties commensurate with the level of this position
  • Comply with Company procedures

Experience/Knowledge:

  • Experience as a Document Controller, preferably with a Main Contractor
  • Experience in the Construction Industry / working on-site
  • Construction understanding and background

Qualifications:

  • Recognised Construction or technical discipline qualifications desirable

Skills:

  • Excellent IT skills Excel/Microsoft Word knowledge, Business Collaborator, Conject, 4P, BIM360, Asite, Aconex, DocElite experience desirable
  • Excellent communication skills both verbal and written
  • Ability to deal with clients & internal staff. Ability to work on own initiative
  • Meticulous, organised, proactive with a positive attitude and willingness to learn
  • Eye for Detail. Self-motivated and enthusiastic
  • Full UK Driving Licence and own vehicle. Must be able to travel to different sites if required to cover leave/sickness
